 (end-to-end) Why should I make a report?
Any possible misconduct by employees or business partners in connection with Keenfinity jeopardizes the company. A positive and open 'Speak Up' culture is an important part of our values-based compliance culture. Therefore, all employees as well as every Keenfinity business partner are encouraged to report possible compliance violations. A report serves to limit the consequences of compliance violations and to avoid similar misconduct in the future. This is an important contribution to ensuring Keenfinity's continuous and long-term success

What should I report?
Please report any possible violations of the law, the Code of Conduct, or other internal regulations. Additionally, possible misconduct by business partners related to activities for Keenfinity can be reported, for example, violations of the Code of Conduct for business partners such as violations of human rights in the supply chain.

How does a report proceed?
If you would like to submit a named or an anonymous report, click the 'Submit report' button at the bottom of our introduction page.

The reporting process is generally as follows:
  1.  On the following page, you will be asked about the focus of your report. 
  2.  On the reporting page, you will formulate your report in your own words and provide as much detailed information as possible. 
  3.  You may also submit files in common formats to support your report. Please remember that documents may contain information about the author. 
  4. Be aware that for some categories, we will ask if you have already submitted this report through another channel or to another department/ authority and whether you are working for Keenfinity. 
  5.  After submitting your report, you will receive an URL and a password as proof that you have sent the report and with which you can check the status of the processing at any time. 

How do I get feedback while remaining anonymous?
The top principle in all our processes is the protection of whistleblowers. The whistleblower system is operated by the reputable provider Vispato GmbH. The functionality of maintaining anonymity is certified by an independent entity. Your report will be kept anonymous through encryption and other special security routines (end-to-end). You will not be asked for personal information at any point during the reporting process.

You are free to provide your name and a personalized email address where we can reach you in case of questions. If you choose to submit an anonymous report, your anonymity is fully protected as long as you do not enter any personal information that would allow a conclusion to be drawn about your identity. After submitting the report, you will receive a personalized URL and a password. You can download a digital copy of this or note the information down yourself.

Attention: If you loose this information, it will no longer be possible for us to contact you through the system and you will not be able to inquire about the status of the processing. Neither us nor the provider Vispato can retrieve this information for you.


What does protection of whistleblowers mean?

Any form of disadvantage due to a report made in good faith is prohibited. Disadvantages can include discrimination, threats, or negative employment consequences, for example. Keenfinity protects all whistleblowers who report in good faith. However, if a deliberately false report is made (e.g., to falsely accuse a colleague), this may lead to consequences for the reporting person.

Please report any potential disadvantages directly to the compliance organization or submit a report under the category 'Other violations of laws or the Code of Conduct' and indicate the suspicion of disadvantage.
